Privacy Policy

EZBussiness ("we", "us", "our") builds customized business applications, including EZCrew, an AI-powered workforce scheduling application. This policy explains what information we collect, how we use it, and the choices you have. It applies to our websites and our mobile applications.

1. Information We Collect

Information you provide

• Account information — name and email address, collected when you sign up (authentication is handled by our identity provider, Clerk).
• Organization data — business name, locations, job roles, and team member relationships created by your organization's administrators.
• Scheduling data — shifts, availability, time-off requests, shift-swap requests, and approvals.
• Messages — messages you send through in-app messaging, including direct messages and announcements.
• Support communications — anything you send us at our support addresses.

Information collected automatically

• Device and usage information — device type, operating system, app version, and diagnostic logs used to keep the service reliable.
• Push notification tokens — device tokens used to deliver notifications you have enabled.
• Location information — only if your organization enables location-based features (such as clock-in verification), and only with your device-level permission. Location is checked at the moment of the action; we do not track your location in the background. You can revoke location permission at any time in your device settings.

Payment information

Subscription payments are processed by Stripe. We never receive or store your full card number. We retain only subscription status and billing metadata.

2. How We Use Information

• Provide, operate, and secure the service (scheduling, messaging, approvals, notifications).
• Power AI features — for example, generating schedule drafts or answering scheduling questions. AI requests are processed by our AI provider (Anthropic) using your organization's scheduling context; they are not used to train third-party models.
• Send service notifications you or your organization have enabled.
• Maintain security audit logs of privileged administrative actions (role changes, user removals, permission changes).
• Process subscription billing.
• Comply with legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

3. How Information Is Shared

Your information is shared only with the service providers we use to run the platform, and within your own organization as its administrators configure (for example, managers can see their team's schedules). Our subprocessors:

4. Data Security

• All data is encrypted in transit (TLS) and at rest (AES-256).
• Access is controlled with role-based permissions and database row-level security, so members of one organization cannot access another organization's data.
• Privileged administrative actions are recorded in immutable audit logs.

5. Data Retention & Deletion

We retain your information while your account or your organization's account is active. When an organization removes a member, that member's access ends immediately. To request deletion of your account and associated personal data, email privacy@ezbussiness.com — we will complete verified requests within 30 days, except where retention is required by law (for example, billing records).

6. Your Rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. Contact us at privacy@ezbussiness.com and we will respond within 30 days. If you use EZCrew through your employer, some requests may be routed through your organization's administrator, who controls that workspace's data.

7. Children's Privacy

Our services are intended for use by businesses and their workforce. They are not directed at children under 13, and we do not knowingly collect personal information from children under 13. Organizations that schedule minor employees are responsible for complying with applicable youth employment laws.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be announced in the app or by email, and the effective date above will be updated. Continued use of the service after a change takes effect constitutes acceptance of the revised policy.
